The enquiry arrives on WhatsApp. What happens next decides the order.

Parts is a speed and memory business. A buyer sends a part number to three suppliers, and the order goes to whoever comes back first with a price he trusts.

Most of the businesses we meet are good at the parts. What costs them orders is everything around the parts: where the enquiry landed, who was supposed to answer, and whether anyone went back to the customer who never replied.

What we usually find

Nine things owners tell us, in roughly this order.

Written as they are described to us, not as consulting categories.

  1. 01

The business runs on walk-ins and the people who know you

Which works until a good salesman leaves, or a regular buyer quietly stops coming in.

  2. 02

    Enquiries arrive on several phones

WhatsApp, calls, email and the counter. There is no single list, so nobody can say how many enquiries came in last week.

  3. 03

A quotation takes hours, sometimes a day

Because price, availability and what this customer paid last time are each in a different place, and one person holds the exceptions.

  4. 04

    Nobody chases the quote

It goes out, the buyer goes quiet, and that is the end of it. The order is lost to silence more often than to price.

  5. 05

There is no organised customer list

Names are in phones, in a notebook and in one spreadsheet nobody fully trusts. Nobody can tell you who bought from you last year and has not come back.

  6. 06

What the customer was told lives in one person's head

The price he was given, the alternative he was offered, the delivery he was promised. When that person is out, the answer is out with him.

  7. 07

    Marketing happens when someone remembers

A post here, an offer there. There is no plan for the month, so nothing builds and nothing can be judged.

  8. 08

There is nothing online a buyer can look at

No catalogue he can search, and often a page that does not say what you actually stock. A serious buyer checks before he calls.

  9. 09

The month's numbers are rebuilt by hand

From invoices and memory, which means they arrive late and only describe what already happened.

How the work runs

Review, plan, build, and then look again.

The same four stages as any other KARNOVA engagement. Nothing is bought before stage one is done.

  1. 01

    Review

We follow real enquiries through the business for a short period: where each one arrived, who answered, how long the quotation took, and what happened to the ones that went quiet.

  2. 02

    Plan

You get a written plan in the order that pays for itself first, with what it costs and what it does not include. Usually that is capture and follow-up, and rarely a catalogue.

  3. 03

    Implement

We build the pieces with your counter and sales staff, one at a time, so each one is in use before the next is started.

  4. 04

    Improve

We come back to the same numbers we set at the start — how many enquiries were captured, how long a quotation took, how many were followed up — and fix what did not hold.

What we may build

Scoped by the review, not promised in advance.

Most businesses need three or four of these. None of them is worth building before the enquiry is being captured.

  • One list every enquiry lands on, whichever phone it came to
  • A request path on the website built for part numbers, quantities and photos
  • A quotation routine with current prices, so more than one person can quote the same day
  • One record per customer: what he bought, what he paid, what he was promised
  • A follow-up routine on open quotes, with an owner and a date, on WhatsApp
  • A monthly list of customers who have stopped ordering
  • A searchable catalogue of what you actually want to sell
  • A simple monthly page: what came in, what was quoted, what closed
What KARNOVA is, here

We are not a parts company, and we do not pretend to be.

KARNOVA does not source parts, hold stock, or tell you which supplier to use. Your people know the product, the brands and the buyers far better than we will.

What we work on is everything around that knowledge: how an enquiry is captured, how fast it becomes a price the buyer trusts, whether anyone goes back to him, and what you can see at the end of the month.

The same work applies to any trading business where speed and customer memory decide the order. Nothing on this page is specific to one brand or one product line.
